Who is responsible

Aktif Gençlik Eğitim ve Kültür Araştırmaları Derneği (AGEKADER), Kartal, Istanbul, is the data controller in the sense of Turkish law no. 6698 (KVKK) and, for participants in the European Union, of the GDPR. You can reach us at info@agekader.com.

What we collect and why

If you apply to a project as a participant

Name, date of birth, gender, contact details, country of birth and of residence, language levels, previous project experience, your motivation letter and an emergency contact. We need these to select participants, to report to the Turkish National Agency, and to reach you or your emergency contact during the activity. During the project we also process your travel documents and receipts, and the tasks, evaluations and photographs produced within the project.

If you register an organisation

The organisation's identity and contact details, its OID or PIC, what it works on, and its Partner Information Form (PIF). We ask for the PIF because it is what an Erasmus+ application needs from a partner; it is also the document we read when we review your registration.

Who can see it

• Nobody outside, by default. Your contact details are hidden on your public profile until you tick the boxes that show them.
• The organisation whose call you apply to sees your profile, your contact details and your PIF — only after you allow it on the application page, only that organisation, and the permission is recorded with its date, your IP address and browser.
• The AGEKADER reviewer reads your registration, including the PIF, because a registration cannot be checked without it.
• The Turkish National Agency and the European Commission receive the participant and budget reports the programme requires.
• Nobody else. We do not sell, rent, trade or hand over data for advertising, and we use no advertising trackers on this site.

How long we keep it

Applications that are not selected are kept for one year, so that we can answer questions about the selection. Documents that belong to a funded project — participant lists, travel documents, receipts — are kept for five years after the final report, because the Erasmus+ programme requires it. An organisation profile stays until you ask us to remove it. Consent records are kept as long as the data they cover, since they are the proof that we were allowed to hold it.

Where it is kept

On servers in Türkiye. Documents are stored outside the public web folder and are served only through pages that check who is asking. Backups are taken daily.

Your rights

Under article 11 of the KVKK — and under the GDPR if you are in the EU — you can ask whether we hold data about you, ask for a copy, ask us to correct it, ask us to delete it, withdraw a consent you gave, and object to a use you did not expect. Write to info@agekader.com and we answer within 30 days. Withdrawing a consent does not undo what was lawful before it, and it cannot shorten the five-year retention the programme imposes on financial records.

Hangi veriler, niçin

Katılımcı başvurularında: ad-soyad, doğum tarihi, cinsiyet, iletişim bilgileri, doğum ve ikamet ülkesi, dil seviyeleri, önceki proje deneyimi, motivasyon metni ve acil durumda aranacak kişi. Bu veriler katılımcı seçimi, Ulusal Ajans'a raporlama ve faaliyet sırasında size ulaşabilmek için işlenir. Proje süresince seyahat belgeleri, fişler, görev teslimleri, değerlendirmeler ve fotoğraflar da işlenir.

Kuruluş kaydında: kuruluşun kimlik ve iletişim bilgileri, OID/PIC numarası, çalışma alanları ve Partner Information Form (PIF) belgesi.

Kimler görebilir

Varsayılan olarak hiç kimse. İletişim bilgileriniz, siz profilinizde açıkça işaretlemedikçe herkese açık profilinizde görünmez. PIF belgeniz, yalnızca başvurduğunuz çağrıyı açan kuruluşa, yalnızca başvuru sırasında açık rıza verdiğinizde açılır; bu onay tarih, IP adresi ve tarayıcı bilgisiyle kayıt altına alınır. Kaydınızı inceleyen AGEKADER yöneticisi belgeyi görür — kayıt aksi hâlde denetlenemez. Program gereği Ulusal Ajans ve Avrupa Komisyonu'na katılımcı ve bütçe raporları iletilir. Bunların dışında kimseyle paylaşılmaz; hiçbir veri satılmaz, kiralanmaz, reklam amaçlı kullanılmaz.

Saklama süresi

Kabul edilmeyen başvurular bir yıl; desteklenen projelere ait katılımcı listeleri, seyahat belgeleri ve fişler, Erasmus+ kuralları gereği nihai rapordan sonra beş yıl saklanır. Kuruluş profili, siz silinmesini isteyene kadar durur.

Haklarınız (KVKK m. 11)

Kişisel verinizin işlenip işlenmediğini öğrenme, bilgi talep etme, amaca uygun kullanılıp kullanılmadığını öğrenme, düzeltilmesini veya silinmesini isteme, verdiğiniz açık rızayı geri alma ve zarara uğramanız hâlinde tazminat talep etme haklarına sahipsiniz. info@agekader.com adresine yazmanız yeterli; en geç 30 gün içinde yanıt veriyoruz. Rızanın geri alınması, programın zorunlu kıldığı beş yıllık mali belge saklama süresini kısaltmaz.

Çerezler

Yalnızca oturumunuzu açık tutan çerez kullanılır. Reklam çerezi ya da üçüncü taraf takip kodu yoktur.
